Abstract

Responsible research data management (RDM) is crucial in industry-university collaborations, yet existing frameworks and data management plan (DMP) tools often remain abstract and detached from daily project work. This paper presents a role-based Business Process Model and Notation (BPMN) process map and an interactive prototype that depict the RDM lifecycle from project start to retention across key academic and industrial roles. RDM activities, phases, and roles were derived from lifecycle models, institutional policies, and project experience, then refined in a collaborative modelling workshop. Evaluation with nine researchers using think-aloud walkthroughs and a questionnaire shows that the artefact clarifies responsibilities and actions, while highlighting tensions between completeness and simplicity.
